How Long Can Goods Stay in a China Consolidation Warehouse?

Understand China consolidation warehouse storage fees, free days and supplier delays. Learn when to wait, when to ship and what to confirm before delivery.

TengYoda Logistics12 min read

Goods can stay in a China consolidation warehouse for the period the warehouse agrees to accept them. There is no single free-storage allowance or maximum stay that applies to every provider. The permitted duration depends on the cargo, available space, storage conditions and written service agreement. A free-storage period is a billing allowance; it is not a promise of unlimited storage after that period ends. For an importer buying from several Chinese suppliers, the practical goal is to bring the orders together without allowing the earliest arrivals to become expensive inventory. Before any supplier delivers, confirm when storage starts, when free days end, how extra days are charged and the latest date you will decide whether to wait or ship.

Free storage and the maximum stay are different questions

A warehouse may accept a short consolidation hold, agree to a longer paid arrangement, or limit how long particular goods can remain. Ask for the permitted stay as well as the price. Paying a storage fee does not automatically extend an agreed departure deadline.

Request written confirmation of:

  • The receiving warehouse and the types of goods it accepts.
  • Whether any free storage is included in your quotation.
  • The event that starts the allowance and how the final free day is calculated.
  • The maximum agreed stay and the process for requesting an extension.
  • The charges after free time, including minimums and any higher rates for longer stays.
  • The notice, payment and collection arrangements required to release the goods.

If TengYoda is arranging the consolidation, ask Vinson to confirm these details for the selected warehouse and your actual cargo. Do not treat an example in this article as a TengYoda free-storage offer.

When does the free-storage clock start?

The starting event must come from the warehouse's terms. It might be recorded receipt, acceptance into storage, or another agreed event. Confirm whether the arrival day counts, whether days are calendar or working days, and whether the dispatch day is chargeable.

With multiple suppliers, the distinction between a batch-based allowance and an order-based allowance matters. If the terms start a separate clock for each delivery, Supplier A's cartons can become chargeable while Supplier C's goods are still in production. A later arrival does not automatically restart the allowance for earlier goods.

Ask whether weekends and holidays count, and obtain a specific last-free-storage date for each applicable batch. A holiday can affect pickup or warehouse staffing even when storage fees continue to accrue.

Also check whether a shipment delay, booking change or missed cutoff changes the allowance. Obtain any extension in writing before relying on it.

Which storage charges should an importer compare?

China warehouse storage fees for consolidation may be quoted using different units. Compare the billing basis and minimum, not just the rate printed beside “storage.”

Possible billing basisWhat to confirm
Per CBM per dayPacked measurement, rounding, minimum billable volume and day-count rules
Per pallet positionAccepted pallet size and height, stacking permission and treatment of oversized pallets
Per square metre or dedicated areaRequired floor space, access clearances and minimum reserved area
Per week or monthWhether partial periods are charged in full and how renewals work
Special storage or handling arrangementCargo-specific conditions, equipment, monitoring and applicable approvals

Heavy machinery, non-stackable crates and long items may occupy more usable space than their simple cubic volume suggests. Temperature-sensitive, perishable or hazardous goods need a suitable facility and acceptance before delivery. Do not send them to a general-cargo warehouse on the assumption that an ordinary carton-storage rate applies.

Separate storage from warehouse work

Free storage does not necessarily include unloading, receiving, counting, opening cartons, sorting SKUs, photography, labelling, repacking, palletising or outbound handling. Ask which services are included and which require approval and an additional charge.

For the boundary between basic receiving and detailed inspection, see what a freight forwarder can check before shipping. For identification, use our shipping marks guide.

If part of an order leaves, confirm when the billable storage quantity reduces and how the remaining cargo is measured. If repacking changes its dimensions or pallet footprint, ask how that affects the storage calculation.

A worked example of free days and storage fees

The following is an illustrative calculation only, using invented terms and prices. It is not a market tariff or a TengYoda quotation.

Assume the warehouse allows seven calendar days free for each received batch, counting the receipt date as day one. After that, storage is RMB 3 per CBM per calendar day, with no minimum or rounding adjustment in this example. All three batches leave the warehouse on 13 November, and that departure day counts when it falls outside the free period.

BatchReceipt datePacked volumeLast free dayChargeable days through 13 NovemberExample charge
Supplier A2 November2 CBM8 November5 days: 9–13 November2 × 5 × RMB 3 = RMB 30
Supplier B6 November3 CBM12 November1 day: 13 November3 × 1 × RMB 3 = RMB 9
Supplier C10 November1 CBM16 November0 daysRMB 0
TotalThree deliveries6 CBMDifferent by batchCalculated separatelyRMB 39

The example includes storage only. Collection, receiving, packing, outbound handling, freight and any applicable taxes or other charges are separate. Actual quotations may use different starting events, minimum quantities, monthly billing or tiered rates.

The lesson is to calculate each batch under the agreed rules. Applying one date to the entire order can hide the cost of the cartons that arrived first.

Keep a supplier arrival table before sending goods to China storage

A factory's production-completion date is not necessarily its warehouse-delivery date. Packing, documents, domestic pickup and transit still need to be arranged. Ask suppliers for a realistic delivery estimate and update it when circumstances change.

Use one shared record containing the following fields:

RecordPurpose
Supplier, purchase order and SKU referenceConnect each delivery to the correct importer and order
Product description and special requirementsConfirm warehouse and transport acceptance before dispatch
Expected cartons, dimensions and gross weightPlan space, unloading and onward transport
Confirmed cargo-ready and pickup datesSeparate factory readiness from collection arrangements
Expected and actual warehouse-arrival datesIdentify delays and establish the receiving record
Last free day and storage basisShow which batch will become chargeable first
Packing, inspection or document issuesIdentify work that must finish before release
Latest acceptable arrival and decision dateDecide whether to wait or split before missing a booking

Agree how frequently updates will be provided and who can approve extra storage, repacking or dispatch. A receiving record should state what was actually checked; a carton count alone does not prove that every product inside is correct.

Should you wait for a late supplier or ship the ready goods first?

Compare the additional cost and timing impact of each option. The cheapest storage bill does not always produce the lowest overall delivery cost.

OptionWhen it may be practicalCosts and risks to check
Wait and consolidate everythingThe remaining goods have a credible ready date and the order is not urgentExtra storage, missed sailing, changed rates and delayed usable stock
Ship the available goods firstReady inventory is needed and the late batch can travel separatelyA second booking, extra document and clearance fees, another delivery and minimum freight charges
Send a limited urgent quantity by air or expressA small quantity can bridge the stock gapAir or express acceptance, chargeable weight, repacking and separate shipment records
Stagger factory dispatch before goods leave the supplierEarly cargo is still at the factory and suitable supplier storage is agreedSupplier storage conditions, availability, responsibility and later pickup timing

For a waiting decision, compare extra storage and booking-change costs, plus the business impact of delay, with the extra total cost of a second shipment. Use the same destination and service scope for each option. Stockout costs and delivery dates are planning estimates, not guaranteed outcomes.

If the remaining sea batch is small, review LCL minimum charges from China. If some inventory is urgent, see how to split one order between air and sea freight.

Work backwards from the booking cutoff

Do not schedule the last supplier's arrival for the vessel's departure date. The shipment may need receiving checks, final measurement, packing corrections, document reconciliation and transport to the nominated handover point before departure.

Ask the forwarder to distinguish these dates:

  1. Latest supplier arrival: the last date goods can reach the receiving warehouse with sufficient preparation time.
  2. Cargo and document readiness: when packing, measurements and required shipping information must be complete.
  3. Warehouse release and carrier handover: the planned dispatch and the relevant cargo or documentation cutoffs in the booking.
  4. Importer decision deadline: the earlier point when you must approve waiting, splitting or rescheduling.

The lead time between these events depends on the goods, warehouse workload and booking. Do not assume a fixed number of days works for every shipment. A warehouse accepting your goods does not by itself mean the goods have met the carrier's cutoff or that vessel space is confirmed.

Warehouse storage is not the same as container free time

Pre-export storage of loose cartons or pallets in a China consolidation warehouse is a different service from storage at a container freight station, terminal storage, or charges associated with keeping a carrier's container beyond its free time.

Each facility or service can have its own start event, allowance and tariff. Moving cargo from an origin warehouse to a CFS does not mean the first warehouse's allowance transfers to the CFS. Ask which party invoices each stage and whether the quotation includes it.

Maersk's published LCL terms, for example, address charges beyond the applicable free-storage period, separate add-on services and warehouse handover cutoffs. They illustrate why these items must be checked individually; they do not establish TengYoda's warehouse rates or a standard China-wide allowance.

What changes when goods need a longer stay?

If an order will remain beyond the original plan, review the arrangement before the agreed end date. Confirm continued acceptance, the updated rate, packaging condition, inventory records and the process for eventual release.

Ask whether the goods need additional protection from humidity, dust or other storage conditions, and confirm the scope and frequency of any checks. Standard receiving is not a promise of ongoing product testing or preservation. Discuss appropriate insurance arrangements for the storage period if needed, including when cover begins and ends.

Keep high-value, fragile, heavy or specially regulated cargo requirements visible in the storage instructions. If suitable conditions cannot be provided, review another facility or an earlier dispatch rather than simply extending the time.

How TengYoda helps coordinate the waiting period

TengYoda can help overseas importers coordinate supplier dispatch, China pickup, warehouse receiving and the next transport stage. Before the first delivery, Vinson can review your supplier list, expected arrival dates, cargo characteristics, storage needs and target delivery date.

The agreed support can include receiving references, arrival records, confirmation of outstanding supplier deliveries, packing and measurement coordination, and comparison of waiting versus partial dispatch. Confirm the reporting frequency, decision authority and service charges before work starts.

For your shipment, request written confirmation of the warehouse's free period, billing basis, approved stay and release conditions. Then link those dates to the booking plan. This helps make a supplier delay visible while there is still time to change the shipment arrangement.

Discuss your consolidation and storage plan with TengYoda, review our cargo consolidation service, or message Vinson. Send the supplier list, product details, expected package sizes and weights, arrival dates and destination postcode. Use the freight quote checklist if you are still gathering the information.

Frequently asked questions

Is free storage included with consolidation shipping?

Only if the quotation or service agreement includes it. Confirm its starting event, duration, eligible cargo and exclusions before delivery. Receiving or packing fees may still apply during free storage.

Can goods stay for several weeks or months?

That requires the warehouse's agreement and suitable storage conditions. Confirm capacity, charges, maximum stay and release terms. Do not assume a short consolidation arrangement also covers long-term inventory storage.

Does each supplier's delivery get a separate free period?

It depends on the agreed rules. Ask whether the allowance is calculated by batch, booking, order or another basis. Keep actual receipt dates for every delivery even if a combined billing arrangement is used.

What if the late supplier causes extra storage fees?

Record the delay and discuss responsibility under your purchasing and service arrangements. The warehouse's charge does not automatically become the supplier's responsibility. Agree any compensation directly and keep the shipment decision moving.

Can I collect the goods or use another forwarder?

Ask about the warehouse's release procedure, notice period, outstanding charges, handling fees and required authority. Confirm collection details and reconcile the inventory before the new pickup is arranged.

How many free days does TengYoda offer?

Request a shipment-specific confirmation before sending goods. The applicable warehouse, cargo and service arrangement determine the agreed allowance and charges. No fixed free-storage period is offered through this article.
