An importer does not need the freight forwarder with the biggest advertisement. The importer needs a provider that can understand the cargo, define the service scope, identify foreseeable risks and remain accountable when the shipment changes.
Price matters, but a freight quotation is only useful when the information and included services are comparable.

1. Confirm the company identity
Ask for the company's registered name, business registration information, operating address and official contact details. The beneficiary name on a commercial invoice should be checked against the contracting party or an explained payment arrangement.
For ocean freight, ask whether the provider holds or operates under the relevant NVOCC arrangements. If a qualification is important to your due diligence, request the current document rather than relying only on a logo or website statement.
Unexpected changes to bank details should always be verified through a previously confirmed communication channel.
2. Look for experience relevant to your cargo and route
A company can be experienced in one type of logistics but unfamiliar with another. Ask about shipments with similar characteristics:
- Origin city and Chinese loading port
- Destination country and port
- FCL, LCL, air freight or express
- Furniture, building materials, machinery or consumer products
- Heavy, oversized, fragile or restricted cargo
- Multi-supplier consolidation
- Customs and biosecurity requirements at destination
Experience should be demonstrated through a clear explanation of the process and risks, without disclosing another customer's confidential documents.
3. Test the questions the forwarder asks
A reliable forwarder should request more than “How many cubic metres?” For an initial review, expect questions about:
- Product name, material and intended use
- Number and type of packages
- Packed dimensions and gross weight
- Pickup city and loading conditions
- Cargo-ready date
- Destination port or delivery postcode
- Incoterm and required service scope
- Batteries, liquids, powders, magnets, chemicals or timber
- Stackability, fragility and unloading requirements
If a final price is offered before essential cargo details are known, ask what assumptions were used.
4. Compare quotation scope, not only the headline rate
Two quotations may use the same route but include different services. Request a written breakdown covering:
- Factory pickup or supplier delivery
- China warehouse and handling
- Export customs declaration and documentation
- Main freight and carrier surcharges
- Destination shipping-line and terminal charges
- Customs clearance, duty and tax responsibility
- Truck delivery, unloading and equipment
- Inspection, storage, demurrage and detention exclusions
The cheapest port-to-port rate can produce a higher landed cost if destination charges are unclear.
5. Check how cargo changes are handled
Final dimensions can differ from supplier estimates. Production may finish late. A vessel can roll cargo or change its schedule. Ask how the forwarder updates the quotation, communicates deadlines and documents the customer's approval when circumstances change.
Professional communication includes explaining what is known, what is estimated and what remains outside the forwarder's control.
6. Review warehouse and consolidation capability
If you buy from several suppliers, ask how the warehouse identifies incoming orders. The process should use an importer reference, purchase-order number or shipping mark.
Clarify which services are included:
- Package count and arrival photographs
- External dimension and weight measurement
- Visible-damage reporting
- Relabelling or shipping marks
- Palletising or export packing
- Detailed product inspection
Basic receiving is not the same as quality control. A detailed inspection must have an agreed checklist.
7. Evaluate destination knowledge without expecting guarantees
A China forwarder should help prepare accurate origin documents and coordinate the destination handoff. However, import eligibility, duty, tax and government inspections depend on the cargo and destination authorities.
Be cautious if anyone guarantees customs clearance without reviewing the product, material, value and importer status.
8. Start with a controlled shipment
For a new relationship, a smaller or lower-risk shipment can help both parties test communication, documentation and payment procedures. Record who is responsible for each stage and keep final approvals in writing.
Questions to ask before appointing a China freight forwarder
- What is your registered company name and operating address?
- Which cargo types and trade lanes do you handle regularly?
- What information is missing from my enquiry?
- Which charges are included and excluded?
- Who handles destination clearance and delivery?
- How do you identify goods from multiple suppliers?
- What happens if dimensions, weight or schedule changes?
- Which documents will I receive before departure?
- Who is my daily shipment contact?

价格很重要,但只有在货物资料和包含项目一致时,不同货代的报价才具有可比性。

一、核实公司身份
要求对方提供企业注册名称、登记资料、营业地址和正式联系方式。商业发票上的收款方应与合同主体一致;如不一致,必须说明付款安排。
海运业务可核实对方是否具备或依托适用的NVOCC经营安排。如果资质是尽职调查的重要条件,应索取当前有效文件,而不只是相信网站上的文字或标志。
收款账户突然变更时,应通过此前已经确认的联系方式再次核实。
二、确认与您的货物和航线相关的经验
一家企业可能熟悉某类运输,但不一定熟悉所有业务。可以询问其是否处理过具有类似特征的货物:
- 中国起运城市和装货港
- 目的国家和港口
- 整柜、拼箱、空运或快递
- 家具、建筑材料、机械或消费品
- 超重、超大、易碎或受限制货物
- 多供应商集运
- 目的地清关和生物安全要求
经验应通过对流程和风险的清晰说明体现,而不是泄露其他客户的保密文件。
三、观察货代会向您提出什么问题
可靠的货代不应只问“多少立方”。初步评估通常需要了解:
- 产品名称、材质和用途
- 包装件数和形式
- 包装尺寸和毛重
- 提货城市和装货条件
- 备货日期
- 目的港或派送邮编
- 贸易条款和所需服务范围
- 电池、液体、粉末、磁性、化学品或木材
- 能否叠放、是否易碎及卸货要求
如果关键资料尚不明确就得到最终报价,应询问报价采用了哪些假设。
四、比较报价范围,而不只是主运费
同一航线的两份报价可能包含不同服务。建议要求书面列明:
- 工厂提货或供应商送货
- 中国仓库与操作费
- 出口报关与单证
- 主运费和承运人附加费
- 目的地船公司与码头费用
- 清关、关税和税费责任
- 拖车派送、卸货和设备
- 查验、仓租、滞期和滞箱费用的除外责任
最低的港到港运价,可能因为目的地费用不明确而产生更高落地成本。
五、了解货物变化时如何处理
供应商预估尺寸可能与最终包装不同,生产也可能延期,船公司还可能甩柜或调整船期。应了解货代如何更新报价、沟通截止时间,以及在情况变化时记录客户确认。
专业沟通应区分已经确认的信息、暂时估算的信息和货代无法控制的事项。
六、核实仓库与集运能力
如果从多家供应商采购,应了解仓库如何识别货物,通常应使用进口商编号、采购订单号或唛头。
还应确认以下服务是否包含:
- 件数记录和到仓照片
- 外包装尺寸和重量测量
- 可见破损报告
- 重新贴标或贴唛
- 打托或出口包装
- 详细产品检验
基础收货不等于质量检验,详细验货需要单独约定检查清单。
七、评估目的地知识,但不要期待不合理保证
中国货代应协助准备准确的中国端单证,并协调目的地交接。但产品能否进口、关税、税费和政府查验最终取决于货物和目的地主管部门。
如果对方没有审核产品、材质、货值和进口主体就保证一定清关,应保持谨慎。
八、从风险可控的货物开始合作
建立新合作关系时,可以先用较小或风险较低的货物测试沟通、单证和付款流程。明确记录每个环节由谁负责,并保留书面确认。
委托中国货代前应询问的问题
- 贵公司的注册名称和营业地址是什么?
- 经常操作哪些货物和航线?
- 我的询价还缺少什么资料?
- 哪些费用包含,哪些不包含?
- 谁负责目的地清关和派送?
- 如何识别多家供应商送到仓库的货物?
- 尺寸、重量或船期变化时如何处理?
- 开船前我会收到哪些文件?
- 谁是我日常对接的运输联系人?
